Executive Assistant
Speaker Law Firm is a dynamic law office in Lansing seeks an experienced, detail-oriented, highly organized, self-directed person who can take on the role of Executive Assistant. Speaker Law Firm is a boutique law firm, specializing in family law appeals.
This position requires excellent communications skills, verbal and written. You should be able to demonstrate good judgment. Confidentiality is a must as you will be privy to private client information and confidential law firm information as well. The ideal candidate must be able to prioritize your activities with minimal supervision and coordinate cheerfully with your fellow team members. Professional appearance and attitude is a must. The work schedule is Monday through Friday, 9:00am-5:00pm.
The role of the Executive Assistant is ensure that Speaker Law Firm’s owner accomplishes her goals, stays on track with all calendared items, and make sure her life is running smoothly and efficiently.
Job Duties:
Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the owner’s behalf.
Maintain comprehensive and accurate records.
Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
Answer phone calls in a polite and professional manner and triaging phone calls for the owner.
Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
Maintain the owner’s vehicle, including gas, wash and scheduling maintenance when needed.
Book hotel, flights, and car service for the owner, and register her for conferences.
Ensure the owner has everything she needs for any meeting or event and keep her day running smoothly.
Document policies and procedures related to the role of both the owner and the Executive Assistant.
Education & Experience Required:
Time management and ability to meet deadlines.
Ability to keep sensitive information confidential.
Strong verbal and written communication skills.
Strong organizational skills and ability to multitask.
Ability to problem solve and make decisions swiftly.
Get work completed proactively and with little oversight.
Impressive interpersonal skills.
Ability to use our learn law firm software, including case management software, CRM, MS Office Suite, and QuickBooks.
